FAMILY/OFFICE MANAGER

 

We are seeking a high energy, smart employee who has the desire to take on a busy, always moving business and family. Two businesses are run out of our home - a high-end audio/video contracting company and a Clinical Psychology assessment practice. Our kids are 3, 6 and 8. The children are in school/camp/daycare – this isn't a nanny position - but it's busy.

Business Responsibilities include:

  • Answering phones (friendly, confident phone voice is a must - this is the 1st contact prospective clients have with our company)
  • Mail & package sending and receiving
  • Some website maintenance
  • Administrative tasks including, but not limited to: filing, scanning entering invoices into accounting software, helping prepare bills, making bank deposits
  • Maintaining Inventory accurately and efficiently
  • Processing purchase orders
  • Managing time sheet process, assisting with bill preparation
  • Helping facilitate ebay sales of excess inventory and equipment
  • Scheduling service calls – includes interfacing with clients, expressing their needs to field operations or senior management, schedule work, communicate all decisions to all relevant parties (senior management, technician, customers)
  • Keeping abreast of company President’s appointments and priorities and helping maintain his schedule
  • If skills, some marketing/writing projects.
  • Remaining aware of Psychology appointments so primary office is always presentable and available for those clients

 

 

Family responsibilities include:

  • Playing with kids and/or supervising homework in the afternoon (occasional)
  • Getting "mindless" tasks done with children around and/or in your office
  • Knowing, expecting and enjoying children to interrupt some work because they want you to play (and you are not on deadline)
  • Careful planning and scheduling so one responsible adult is always home if a child is home (particularly when the youngest naps)
  • Household organization/inventory activities

 

Requirements:

  • CDL
  • Experience playing/taking care of kids
  • Quickbooks experience
  • References who can vouch for your character, punctuality, and reliability
  • Billing + purchasing experience
  • Non-smoker (and non-smoking household), drug-free, pet-free, fragrance free (2 very allergic members in our household)
  • Strong communication skills – you must be articulate and direct in English.
